Simon & Schuster Canada is seeking an organized, professional, and detail-oriented Office Coordinator to join our team. The Office Coordinator will be responsible for the smooth day-to-day running of our office environment. The ideal candidate will have excellent communication and organizational skills, a keen eye for detail, a customer service focus, and a love for books. This position is based in our downtown Toronto office and will require the candidate to work on-site during regular business hours, Monday through Friday.

 

Responsibilities:

Greet and announce all visitors warmly and professionally
Respond to and direct phone and email enquiries promptly
Maintain upkeep of all shared areas on the office, including boardrooms, kitchen, lobby, and storage areas
Provide meeting support: maintain meeting room calendars, greet guests, coordinate catering, and provide technical support
Manage office supply inventory and place replenishment orders
Handle incoming and outgoing mail/courier packages and maintain inventory of shipping supplies. Assist with large mailings as required
Maintain staff seating chart, phone list, and staff security code list
Coordinate maintenance for photocopier and small kitchen appliances
Coordinate with building staff on general maintenance issues, elevator scheduling, parking permits, and employee access cards
Qualifications:

2+ years of experience in an administrative support role, preferably in a publishing or office environment
Strong interpersonal and communication skills, with a customer service focus
Strong organizational and multitasking abilities
Attention to detail and accuracy in completing tasks
Practical judgment balanced with sensitivity and tact when dealing with confidential issues
Ability to work effectively both independently and as part of a team
Positive attitude and willingness to take on new challenges
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
Ability to work on-site in our Toronto office during regular business hours, 5 days per week
