Simon & Schuster Canada is seeking an organized, professional, and detail-oriented Office Coordinator to join our team. The Office Coordinator will be responsible for the smooth day-to-day running of our office environment. The ideal candidate will have excellent communication and organizational skills, a keen eye for detail, a customer service focus, and a love for books. This position is based in our downtown Toronto office and will require the candidate to work on-site, during regular business hours, Monday through Friday (5 days a week). This is a full-time, permanent role.

Salary Range: $45,000-49,000

Responsibilities:

  • Greet and announce all visitors warmly and professionally
  • Respond to and direct phone and email enquiries promptly
  • Maintain upkeep of all shared areas in the office, including boardrooms, kitchen, lobby, and storage areas
  • Provide meeting support: maintain meeting room calendars, greet guests, coordinate catering, and provide technical support
  • Manage office supply inventory and place replenishment orders
  • Handle incoming and outgoing mail/courier packages and maintain inventory of shipping supplies. Assist with large mailings as required.
  • Candidate should be comfortable with light physical activity, including lifting and moving boxes, and unpacking supplies.
  • Maintain staff seating chart, phone list, and staff security code list
  • Coordinate maintenance for photocopier and small kitchen appliances
  • Coordinate with building staff on general maintenance issues, elevator scheduling, parking permits, and employee access cards
  • Assist in coordinating resolution for office IT issues, in conjunction with offsite IT staff
  • Perform some general Accounts Payable duties, including scanning and coding invoices for payment

Qualifications:

  • 2+ years of experience in an administrative support role, preferably in a publishing or office environment
  • Strong interpersonal and communication skills, with a customer service focus
  • Strong organizational and multitasking abilities
  • Attention to detail and accuracy in completing tasks
  • Practical judgment balanced with sensitivity and tact when dealing with confidential issues
  • Ability to work effectively both independently and as part of a team
  • Positive attitude and willingness to take on new challenges
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work on-site in our Toronto office during regular business hours, 5 days per week
