An opening exists in the Publishing Division for the position of Publishing Assistant reporting to the Publishing Project Manager.

Work Location:  This position works out of our Toronto downtown office located at 604 King St. West. Our team is currently splitting time in the office and at home. Expectation is that the office is this person’s primary work location, with flexibility for some days at home.

Primary Responsibilities

  • Maintaining Master Data Management records for frontlist and backlist titles
  • Designing and running reports from the Master Data Management systems
  • Inventorying and organizing Publishing Archive Library and Lending Library
  • Digitizing and indexing creative and intellectual property (from paper and digital media)
  • Tracking the archiving of editors’ and designers’ files for original print and reprints
  • Preparing and distributing monthly newsletter
  • Creating and updating content for the public-facing website and Scholastic Canada’s Intranet
  • Assisting with permissions requests
  • Responding to and tracking awards submissions
  • Reviewing unsolicited manuscripts
  • Collecting sales data and other material for acquisition and sales meetings
  • Collecting and sharing marketing material with sales channels
  • Ordering CIP, creating barcodes
  •  Sending sample copies
  • Attending production and publishing/marketing meetings
  • Preparing and circulating meeting agendas and minutes, general correspondence, arranging couriers
  • Performing administrative duties — setting up new vendors, coding invoices and tracking payment requisitions
  • Other duties as assigned

Qualifications

  • Knowledge of and interest in children’s books, pop culture and children’s media
  • Personal values that are aligned with Scholastic’s Credo, including a demonstrated understanding of the importance of broadening representation of marginalized communities within the publishing industry
  • Post-secondary education and/ or diploma in publishing or similar is an asset
  • Administrative experience and/ or experience with database management
  • Exceptional organizational skills, and a proven ability to multitask and work well in a deadline-driven environment
  • Excellent communication skills, both verbal and written, good creative writing skills, an eye for detail and a professional attitude
  • Proficiency in Microsoft Office products (including PowerPoint, Excel, Outlook and Teams), and Google Suite (Google Slides, Drive)
  • Working knowledge of Adobe Photoshop and Adobe InDesign are strong assets
  • Some knowledge of metadata is an asset
