An opening exists in the French Division for the position of Product Coordinator reporting to French Acquisition Manager.

Work Location:  This position works out of our Toronto downtown office located at 604 King St. West with flexibility for some days at home. Our team is currently splitting time in the office and at home.

Role Summary

The Product Coordinator is responsible for assisting the Acquisition Manager in maintaining up-to-date and accurate information on all publishing projects. The Product Coordinator acts as primary liaison with French Publishing, Production, and Supply Chain to ensure flow of information between departments.

Primary Responsibilities

Communication & Coordination:

  • Maintaining up-to-date information on all publishing projects and monthly releases via the seasonal French publishing grid.
  • Communicating changes in projects, scheduling, and releases to all parties, within and across divisions, and ensuring that all relevant records and data sources are updated and correct.
  • Communicating when advance copies and stock for publications are received.

Collect Quantities for New Projects:

  • Collecting print quantities for new publications from all internal channels (Trade, Clubs de lecture, Festival du livre, and Education).
  • Keeping minutes and providing support for acquisition meetings
  • Tracking all publishing proposals and final numbers; ensure quantities and dates are properly and regularly confirmed.
  • Creating P&Ls, assist with pre- and post-publication analysis of projects, seek approval from Manager and Supply Chain, and liaise with Production.
  • Establishing comparable titles; creating and maintaining seasonal French forecasting grid for Trade quantities, and implementing resulting data to inform print and reprint decisions.

Stock Monitoring & Reprints:

  • Collect reprint quantities, create reports, monitor stock levels, and coordinate with Supply Chain and publishers as needed.

Item Creation:

  • Creating items in AS-400 and STEP for all French books and update entries as needed.
  • Creating PO requests for Supply Chain and co-pub forms for Production.

Invoice & Contract Processing:

  • Tracking all payments and pre-pub costs, coding invoices, creating cheque requisitions and intercompany agreements for signature by VP
  • Sending contracts to accounting department for processing.

Miscellaneous

  • Preparing slide show presentations and scripts for conferences
  • Establishing comparable titles for seasonal forecasting
  • Other tasks as required.

Qualifications

  • Full professional fluency in French and English
  • 2-3 years of project management/ product coordination experience; familiarity with products designed for children is an asset.
  • Excellent organizational and communication skills.
  • Sound technical skills with experience with Microsoft Excel, PowerPoint, Word, Google Suite, and Outlook (Familiarity with AS-400 and STEP is an asset)
  • Ability to work independently and handle multiple projects.
  • Detail-oriented and able to problem solve.
  • Submit and maintain a current Vulnerable Sector Check.
